A simple bill approval process for construction companies
Most payment mistakes in construction are not fraud — they are process gaps: a bill nobody checked against the delivery, a duplicate sent from two phones, an approval given on WhatsApp without the document.

The four steps every bill should go through
- Captured: photo or PDF from site, linked to the project and vendor
- Checked: the accountant matches it to the purchase order and delivery
- Approved: the director (or the limit holder) approves with the document on screen
- Paid: the payment is recorded against the bill, with what remains due
Rules that prevent most losses
- No bill without a project
- No approval without the document attached
- Same vendor + same amount + same day = flag as possible duplicate
- Retention and advances recorded on the bill, not in someone's notebook
- Every step logged with who and when
Make it fast, not bureaucratic
The process only works if it is quicker than WhatsApp. With Ptrionix, the bill is captured in seconds on site, checked at the desk and approved from the director's phone — usually the same day.
