From WhatsApp and Excel to one system: a practical switch for builders

WhatsApp groups and Excel sheets are free, familiar and fast to start. They are also why information gets lost: photos scroll away, files have three versions, and nobody can answer 'how much did this site spend this month?' without a day of work.

Why the old way breaks as you grow

With one site, the owner can keep everything in mind. With three or four, messages multiply, decisions wait, and every report is rebuilt by hand. The cost is not the software you avoided buying — it is the bill paid twice, the material that walked off site and the delay nobody saw coming.

Step 1: start with bills

Bills are where money leaks, and they are easy to move first. Ask site staff to send every bill through the app instead of WhatsApp. Approve from the phone. Within two weeks you will know exactly what is pending, approved and paid.

Step 2: daily site progress

Replace the evening WhatsApp photos with a site update in the app — photo plus one line. Directors see all sites on one screen and can comment on a photo instead of calling.

Step 3: attendance

Print worker QR cards and let the supervisor scan them each morning; staff check in by GPS inside the site radius. Attendance stops being a number someone types.

Step 4: purchase and stock

Once the team is comfortable, move material requests and purchase orders in. Deliveries update stock per site automatically.

Make it stick

  • Pick one person per site as the app champion
  • Stop accepting bills on WhatsApp after a fixed date
  • Use the app in your weekly review meeting
  • Keep the old Excel sheets read-only for reference
